    Kaltura in Canvas

                                              

    • Manually Upload Videos to Kaltura

    Users can upload the following file types (.flv, .asf, .qt, .mov, .mpg, .avi, .wmv, .mp4, .3gp, .f4v, and .m4v)

    1. Login to Kaltura using your eID and password.

    2. Click + Add New [1] and select Media Upload [2].

    3. Check the box next to "I agree to the above terms and conditions."

    4. Drag and Drop or click the Choose a File to Upload button.

    5. Enter a Title.

    6. At least 1 tag must be entered in order to publish [1].

    7. Data Classification [2] can be left as defaulted. This option is only for HIPPA compliant data. If this is you, select CATEGORY 1 DATA.

    7. Since you are already the content owner, you already have full rights to this video. If this is going to be uploaded by an alternate account and you plan to access it from that account, then click the + Collaborator button [3] and add yourself with all of the necessary permissions.

    8. Select Publish [4].

    9. Click Save [5]. 

    Upload a Video to Kaltura Options

    1. Navigate to the area of your course where you would like to add the media.

    Kaltura media can be inserted anywhere there is a Rich Content Editor (Announcements, Assignments, Discussions, Pages, Quizzes, and Syllabus).

    2. Click the Embed Kaltura Media icon.

    You can also get to the embed tool from the Tools menu or the plug icon on the toolbar and select Embed Kaltura Media. If this is your first time, the option may not appear initially. In this case, select “View All” and the Embed Kaltura Media option should then be visible.

    3. A separate "Embed Kaltura Media" window will launch and you will see all your media. Select the desired video and click the Embed button on the far right.

    4. Select to Save or Save & Publish.

     

    In the Rich Content Editor

    1. Navigate to the area of your course where you would like to add the media. 

    2. Click the Embed Kaltura Media icon.

    You can also get to the embed tool from the Tools menu or the plug icon on the toolbar and select Embed Kaltura Media. If this is your first time, the option may not appear initially. In this case, select “View All” and the Embed Kaltura Media option should then be visible.

    3. A separate "Embed Kaltura Media" window will launch and you will see all your media. Click the Add New button and select "Express Capture" option.

    4. A screen will appear using your webcam. Click the Red Record button and record what you would like. Once finished, click the white square (beside the timer).

    5. Click Use This button if it is what you want or click the Record again button (on the left-hand side) to redo the recording. You also have the option to Download a Copy.

    6. Click the Embed button.

     Globally

    1. Once logged into Canvas, go to your Account button located in the Global Navigation.

    3. On the right-hand side, click Add New and select Express Capture.

    4. A screen will appear using your webcam. Click the Red Record button and record what you would like. Once finished, click the white square (beside the timer).

    5. Click Use This button if it is what you want or click the Record again button (on the left-hand side) to redo the recording. You also have the option to Download a Copy.

    6. Enter details such as a Name (required), Description or Tags.

    7. Select Private or Publish and Save.

    Instructors are encouraged to notify their students, either verbally or with a note in the course syllabus, that their classes are being recorded, and that the resulting videos are only intended for educational uses.

    All VCU Zoom users have the ability to record their meetings on the PC or laptop they use to host the event. In addition, Cloud Recording is enabled for users on the VCU Zoom “Master” account. 

    How to Use Cloud Recording

    If Cloud Recording is enabled for your Zoom account, your recordings will be automatically updated to your Kaltura account for storage and sharing. If Cloud Recording is not enabled, please enter a ITSC ticket and request that it be enabled for your account.

    1. If you are a host, click on the “Record” button while in a meeting and select the “Record to the Cloud" option.

    The recording will be saved to VCU Kaltura under "My Media."  There, you'll see your videos listed from oldest to newest. Your newly created Zoom video should be at the top of the list.  There may be a delay while the video is processed, so please be patient. 

    2. Once the meeting is over and you are ready to share with your Canvas course, follow the Embed a Kaltura Video in Canvas steps.

    Note: Users on the “HIPAA” sub-account are locked out of the Cloud Recording feature to ensure compliance with HIPAA regulations. For more information on how to get your videos embedded in Kaltura, see the HIPAA Compliance page.

    PLEASE NOTE: Users on the “HIPAA” sub-account are locked out of the Cloud Recording feature to ensure compliance with HIPAA regulations.  Users are placed on the HIPAA sub-account if they fall under a business unit that is likely to deal with HIPAA-related data, typically health-related departments and schools. Working with the Information Security Office, those units have been determined to include the Schools of Medicine, Nursing, Pharmacy and Dentistry, the College of Health Professions, the Massey Cancer Center, the VP for Health Sciences, VP for Research, the Departments of Psychology and the Partnership for People with Disabilities. These users still have the option of recording to their computers and uploading the files to VCU Kaltura or other servers but cannot write files to the Zoom server. 

    Manually Uploading Zoom Videos to Kaltura

    If you need additional options for recording Zoom meetings using the Kaltura integration, please contact your deparment's technology manager for assistance.

    For those users on the HIPAA sub-account who will not have access to Cloud Recording, it's still possible to host and share your videos from Kaltura.

    1. Choose the "Record" option while in a Zoom meeting.
    2. When you end the Zoom meeting, the recording will be written to your hard drive. When complete, a pop-up window will show you where to find the file (it's saved as an MP4 video file).
    3. Visit go.vcu.edu/video to access your Kaltura account.
    4. Choose "Add New" from the top menu, select "Media Upload" and point to the file you want to upload.add a new video to Kaltura
    5. "If the content of your video includes information covered by the HIPAA Privacy Rule, be sure to select "Category 1" from the following menu option to ensure compliance:Kaltura Category 1 selection
    6. Once you are ready to share with your Canvas course, follow the Embed a Kaltura Video in Canvas steps.
