Mobile Setup

(Clinical, other departments dealing with HIPAA or sensitive data, and Technology Services are under Google Mobile Device Management.  Mobile setup instructions for these departments differ and can be found here: Google MDM Setup Instructions)

All devices configured with VCU Google Workspace accounts should be secured with a password.

Gmail, Google Calendar, and other Google Workspace applications:

To take advantage of the most features available for your Google Workspace account on your mobile device, VCU recommends utilizing the Google Apps in the iOS App Store and Android Google Play Store.

To get started, search for Gmail, Google Calendar, Google Drive, and other Google apps in the App Store for your mobile device. Some Android devices may already have one or more of these apps pre-installed. The below instructions apply similarly to both iOS and Android devices.

  1. Open the Google Workspace app, then look for the scenario that applies to you below:
    • If no account has previously been added to any Google Workspace application on your device, you will be prompted to add a new account. Select “Google” if prompted, then go to Step 2.
    • If you have another Google Workspace application with your VCU account already added, you may be prompted to select “Continue,” then enable the existing VCU account (and other accounts if desired), then select “Done” to complete the process.
    • If not prompted, select the profile picture icon in the top right corner of the screen, then “Add another account,” then “Google” (for Gmail, Google Drive, Google Meet) or go under the ≡ icon in the top left corner, then select ”Manage accounts,” then “Add another account” (for Google Calendar,) then go to Step 2.
  2. In the "Email or Phone" field, enter your email address. (eID@vcu.edu)
  3. Select Next
  4. Enter your VCU eID and Password. If prompted, complete the 2-Factor authentication.
  5. If prompted with Terms of Service, select “Agree.”

Android devices:

Some Android devices come with native, pre-installed versions of an email, contacts, and calendar service. You only need to add your Google Workspace account once to your mobile device for your email, contacts, and calendar events to be available on that device.

To begin using Google Workspace on your Android device, complete the following steps:

  1. Go to your device’s Settings, then select “Accounts” or “Users & accounts.”
    • You may need to select the “Personal” section first, then “Accounts” on some devices.
  2. Select “Add account” then select “Google”
  3. In the "Email or Phone" field, enter your email address (eID@vcu.edu).
  4. Select Next
  5. Enter your VCU eID and Password. If prompted, complete the 2-Factor authentication.
  6. Select Agree on the Terms of Service page.
  7. If prompted to enter payment information, select “No thanks,” then “Continue”

Note: These steps may vary depending on the brand of the device.

iOS devices:

To begin using Google Workspace on your iOS device in your native iOS apps, select "Google," which provides OAuth authentication via VCU's central authentication service (CAS).

  1. Go to your device’s account settings.
  2. Tap "Passwords & Accounts" (iOS 13) or "Mail" then "Accounts" (iOS 14). For older iOS devices, select Mail, Contacts, Calendars.
  3. Tap Add Account.
  4. Tap Google - Continue.
  5. In the "Email or Phone" field, enter your email address (eID@vcu.edu)
  6. Select Next
  7. Enter your VCU eID and Password. If prompted, complete the 2-Factor authentication.
  8. Choose which products you want to synchronize to your device.
  9. Select Save.

Other devices:
