Due to the safety protocols required due to COVID-19, things look and feel different as we take necessary steps to protect the well-being of our community. Employees are required to complete the One VCU: Responsible Together spring semester training by Jan. 25, 2021. The course will be available on Jan. 4, 2021. The training reviews public safety measures as well as new information about limiting the spread of COVID-19, mandatory asymptomatic surveillance testing and other operational changes to expect in 2021. An updated manager training is required as well.
Here is what is expected of you:
Follow safety protocols including those regarding face coverings and masks, cleaning and disinfecting, and physical distancing. Employees will receive reminders for daily health monitoring. Managers will be notified after repeated non-compliance. Disciplinary action for employees up to and including termination will be used for a failure to comply with safety expectations.
What is the daily health check survey?
Students and employees must complete a brief health survey each day. Per the One VCU: Responsible Together plan, these surveys are required and help monitor the overall health of the VCU community. VCU does not record or share any personal information. VCU only tracks if users do or do not respond.
How can I access the survey?
A reminder email is sent to you daily, including weekends for those employees who work over the weekend. There is a link in the email to click on to access the survey, or you can access it directly at dailyhealth.vcu.edu or click "WorkReady" in your VCUMobile app.
Who must complete the daily health check surveys?
Students and employees must complete the daily health check. Clinical faculty who already complete a daily health check through VCU Health System do not need to complete the VCU daily health survey.
Do I have to respond every day? Or just the days I work?
Employees only need to respond on the days they are working. Employees are not required to respond if they are not working or on approved leave. Students receiving the survey must respond daily, including weekends, when school is in session.
What about the days I’m working from home?
Yes.
What should I do if I respond positively to the survey indicating that I have symptom(s) of COVID-19?
If you are working on campus or are teleworking and you present with COVID symptoms, you should contact the 804-MYCOVID (804-692-6843) hotline. The hotline staff will advise you accordingly about quarantine, monitoring and/or testing.
What happens if I don’t respond?
HR Professionals and managers have access to reports indicating whether employees are responding to the surveys. Continued non-compliance with the requirement to complete the daily health survey will result in disciplinary action. There will be no disciplinary action connected to non-completion of the survey while an employee is out on approved leave.
What happens to my responses?
Your survey responses are not stored nor will the information provided be accessible to others. VCU only tracks whether individuals respond.
Who do I contact if I have technical issues with the daily health survey?
Submit an IT ticket if you believe you should be receiving the daily health survey and are not.
I think I should be receiving the survey and I am not. Who should I contact?
You should contact your HR Professional if you are approved to be on campus and are not receiving the daily health survey. You should also check your spam folder to determine if there is a technical issue with the survey reaching your in-box.
Overview: Each employee is required to perform a daily health self-screen and acknowledge doing so via the Daily Health web portal located at https://dailyhealth.vcu.edu/. The instructions below walk managers through the process of accessing a report that contains daily health check compliance for their direct and first level of indirect reports; this report should be checked at least weekly. Ensuring compliance with this process is a critical management task in our current conditions; managers should contact employees who are not completing the self-screens.

Note:
Why must I wear a face covering?
Returning students, employees and visitors must wear face coverings in common spaces as noted in both the employee and student training. Face coverings are the principal means of preventing the spread of COVID-19 and are among the critical health and safety measures in VCU’s One VCU: Responsible Together plan.
When and where must I wear a face covering?
Face coverings are required at all times in VCU owned, operated and leased facilities, including building entry areas, classrooms, conference rooms, hallways, elevators and restrooms. This applies to all VCU employees as well as students, patients, vendors and visitors. An employee may remove their face covering in an office with at least six feet of distance to the nearest hallway if the door is closed. Employees may remove their face coverings to eat or drink but should maintain at least a six foot distance from others. Per the Governor’s order, face coverings must also be worn outdoors if a 6 foot physical distance is not able to be maintained.
What is considered a face covering?
Face coverings include masks, bandanas, scarfs or any other cloth material that covers your nose and mouth. Face shields are not considered face coverings.
Can I wear a face shield instead of a mask or other face covering?
VCU community members may wear a face shield, however, a face covering (e.g., a mask) must also be worn. According to the CDC, face shields provide barrier protection to the face and are not meant to function as primary respiratory protection. If electing to wear a face shield, it must be used concurrently with a mask while in VCU public spaces.
What should I do/say to other community members who aren’t wearing a face covering or following safety guidelines?
If you feel comfortable gently reminding others who are not complying with this requirement to put on a face covering, you may do so. Otherwise, you should also talk to your manager or HR Professional and discuss with them your concerns. Failure to wear a face covering will result in disciplinary action.
What do I do if I have symptoms related to COVID-19 or if I test positive?
If you develop symptoms of COVID-19, test positive, or are exposed to someone with COVID-19, you must call 1-804-MYCOVID or 1-804-692-6843 to be connected with Student Health Services or Employee Health Services. Learn more about the reporting process.
If I am working from home, should I still notify my manager and the COVID-19 hotline if I have symptoms related to COVID-19?
Yes.
