Anonymizing Data
It is the responsibility of Tableau creators to ensure that products of their shared Tableau data sources and connections are in accordance with university policies, state and federal laws. Use of anonymized data is strongly encouraged.
"Anonymized means that (1) no linkage/key code exists that links identifiers to data/specimens, and (2) subjects cannot be readily identified through the use of indirect identifiers (i.e.: dates [such as date of birth], demographic information, etc.) and/or through combinations of the remaining data. Will cause two new questions to appear on the Sharing Plan page: (1) to select options to describe how future use of data was covered in the consent form; (2) to certify that resulting dataset contains no HIPAA identifiers and cannot be used to re-identify subjects." - VCU Research
Records Management
It is the responsibility of Tableau creators to ensure that official/public records generated in Tableau Server are retained and destroyed in accordance with the VCU Records Management policy and time periods listed in the Library of Virginia’s Retention and Disposition Schedules.

Server-level Creators can publish content, data visualizations and data sources to be leveraged by others. Explorers can start new workbooks and work with published data sources, workbooks and dashboards. Viewers can interact with published dashboards, visualizations and embedded content.
Creator and Explorer licenses can be purchased in any quantity. Viewer licenses are purchased in blocks of 10. To purchase licenses, please submit a service desk request at:

- Select 'New IT Support Ticket' on the left
- Search for Tableau Software in the upper right
- Select Request Account/Licenses
- Review special instructions, complete required fields and submit
Upon receipt of your request, Technology Services will charge the provided billing code. Once the charge is approved, Technology Services will place the order. You will be contacted by Technology Services once the new licenses have been purchased, installed and are ready for use. Renewals are billed annually in April.
If your department owns Tableau licenses that are no longer needed, please submit a service desk request at:

- Select 'New IT Support Ticket' on the left
- Search for Tableau Software in the upper right
- Select Cancel Account (for individual) or Cancel License (for multiple)
- Review special instructions, complete required field and submit
After processed by Technology Services, the cancelled license(s) and the annual charge amount will be deducted from your department's next renewal bill.
